CAUTION: Always use the "Administrator's Console" button to move from module to module. NEVER use your "back" button unless you also click your "refresh" button. You risk corrupting your data!

The View Events module provides a comprehensive overview of your scheduled events. This module automatically appears each time an event is added, deleted, or modified.

Expired events display their dates in RED. These events may be recycled by changing the date (see Edit Event List). However, if you recycle, be sure to empty the event's registry also (see Edit Registry). If you need to keep a record of who attended the event, make a backup of the registry.dat file first.

Field Definitions

• Code: The event's unique code.
• Title: The name of the event.
• Date: The date of the event.
• Time: The time(s) of day when the event will occur.
• Location: Where the event will happen.
• Fee: Cost to attend, if any.
• Instructor: The instructor's name.
• Current Enrollment: The number of registrants currently enrolled and the maximum number of registrants allowed to enroll.
• Additional Information: Special instructions or information regarding this event.

Begin by choosing an event from the View Registry module. That event's registration roster appears and includes the event's pertinent information at the top of the screen (title, date, location, etc.).

The "View Registry" contains only the information you want to appear there. The screen is designed to display your information in 3 columns ... this keeps it printer friendly and easy for trainers to print sign-in lists.

The information is selected from the @base names list in the configure.pl file and arranged in columns/order by you. (See Configuration Options Part 5, item 5 for additional details.)

• Add new events in the greenbar field located at the bottom of the screen.
• Delete events by checking the "Delete this event" box found in the event's yellowbar field. See Caution below!
• Date format is critical. It must be in the style of "June 30, 2003". (See Troubleshooting) if an event does not appear on your registration list.
• Expired events remain on the list until manually removed or dates are revised.
• Event Codes MUST BE unique IDs.
• You may edit more than one event prior to submitting your changes.

Field Definitions

• YELLOWBAR Events: Scheduled events (both current and expired). They appear in the order of entry. (See Quick Editing Tricks for off-line data entry.)
• GREENBAR Events: Enter/define new events. Greenbar fields appear at the bottom of the screen and allow you to enter only one new event at a time. Upon submitting, the new event becomes a YELLOWBAR Event. (See Quick Editing Tricks for off-line data entry.)
• Delete this event: Events may be individually deleted by clicking in the box and submitting your changes.
• Purge registrants from this event: If you reuse an event, check this box to quickly delete all registrants from the expired event.
• Checkbox: The checkbox (Check to remove...) just above the submit buttons allows you to do fast housekeeping. When checked, it removes all expired events including their registry data. See Caution below!

  The following field titles are customizable! and appear on the registration form, confirmation letter, and throughout the administration module.

• Event Code: A unique code (up to 10 alpha/numeric) assigned to each event. A new unique random code appear in the greenbar code field which you may use for your new event, or change as desired. Just make certain that it unique to all other events on your list.
• Date: The date of the event. Format is critical - June 2, 2003. (See Troubleshooting) if an event does not appear on your registration list.
• Title: The name of the event.
• Times: When the event will occur, i.e., 8-9, 8 a.m. - noon, all day, etc.
• Location: The room, building, or place where the event will happen.
• Maximum Enrollment The maximum number of registrants who may attend. If the there is no limit, just enter a zero. When that number is reached, the registration board will display your configuration setting
• Instructor: The event instructor's name, if known.
• Fee: Cost to attend, if any. If the event is free, enter FREE, "0" or leave the field blank. If left blank, your configuration setting will display.
• Description: More in-depth course information, i.e., 2 day event or Every Wed for 1 month.
• Additional Information: Special instructions you want registrants to know, i.e., "Bring brownbag lunch," "Bring completed forms," etc.

• CAUTION: If you are revising expired events and re-using the event code, be sure to remove registrants from the previous event.

• CAUTION: If you are revising expired events by changing an event's code, you will remove registrants from that event, BUT, it does NOT delete them from the registry. The registrant's original event assignment continues to be displayed. Since that event code does not exist, they cannot be seen using "View Registry List." They will need to be identified and manually deleted or reassigned to another event. See "Edit Registry" for additional information.

• CAUTION: Deleting an event will remove all registrants from the registry. If you need that information preserved, print or download the event's registry page before deleting the event.

• Add a new registrant by completing the greenbar field located at the bottom of the screen.
• Use the Event dropdown box to select the correct event for the new registrant.
• We recommend NEVER modifying PIN numbers. (See Caution below!)
• Enter ONLY the number of additional people this registrant will bring. Leave blank if they are coming alone.
• You may modify more than one registrant prior to submitting your changes.

Field Definitions

• COLORBAR Registrants: Existing registrants. (See Quick Editing Tricks for off-line data entry.)
• GREENBAR Registrants: Add new registrants to an event.Upon submitting, the registrant becomes a COLORBAR registrant. (See Quick Editing Tricks for off-line data entry.)
• Event Code: The event's unique code. If this field appears empty, the event code had been changed in the "Edit Event List" module. Either reassign the person to a different event or delete the person.
• Registration Date: The day the registration was submitted.
• PIN: The unique code assigned to the registrant at time of registration. The PIN is required to withdraw from an event on-line and should NOT be changed.
• Delete: Check this box to delete a registrant.

  The remaining field titles are customizable! and appear on the registration form, confirmation letter, and throughout the administration module.

• The Registrant Information displayed on the line is dependant on your customizations and appears in the order listed in the "@base" list in the configure.pl file.

• CAUTION: PIN numbers are assigned when a registrant enrolls. It is included in their confirmation letter. If manually changed, these registrants will not be able to withdraw unless you inform them of their revised PIN number.

• CAUTION: Modifying a registrant's event code may cause them to become unassigned if the code is entered incorrectly. The code is CaSe SensiTive. Even using copy/paste techniques may not always work if an unseen "space" is added. If you change a code, confirm that they did get correctly reassigned by checking "View Registry" to see if their name and data appear in that event.
